How do I refund Membership payment?

Membership refunds are simple with Glofox.

In the event that you need to refund a membership, just follow these steps:

  1. Search the person's name in the Global Search or alternatively, go to the Manage Section
  2. If in the Manage section, click the Lead or Client tab depending on if it's a lead or client/member
  3. Click on the member's name to open their profile 
  4. Click on the 'Transactions' tab to see all the payments the member has made 
  5. Click the ‘Refund’ button located beside the particular membership payment

If the membership payment was made by credit/debit card, the refund will be processed and returned to the member’s card automatically. If the payment was made by cash, you may simply return the cash payment to the member.

Please Note;

  • Refunds will be made back to the same method the original payment was made.

  • Refunds on card can be quick but sometimes can take 14 days. It depends on the back so usually say 7-10 working days

  • Refunds for Direct Debit on Go Cardless also take 7-10 working days to process.

  • It's not possible to refund more than the original amount paid.

  • Refunds generate a refund receipt sent to the users email. This is sent once (unless it is a partial refund in which case each partial refund will generate a refund receipt). It is not possible to download this from the Members Profile.

  • You can partially refund as many times as it takes for a transaction to be fully refunded.

  • Refunds processed the same day as the charge does not automatically void the transaction. 

  • It's not possible to refund Account Balance top ups.
