This article will take you through; 

Onboarding your client with Glofox

Depending on your package, your client will have different options to register interest, view schedules, sign-up, purchase memberships and book into classes, courses and facilities. 

  • Web Portal
  • Member App
  • Standalone App
  • The Kiosk
  • The Dashboard (By a staff member) 
  • Glofox Pro (By a staff member) 

If you are using ads or social media posts to promote your gym/studio, you will likely have them sign up via the 'Web Portal' or you might prompt them to download the 'Member App' or 'Standalone App' (if apps are included in your Glofox package).

If you have a client turn up to your gym/studio wanting to sign up, you might have them sign up on the 'Kiosk' or you might manually sign them up yourself (If the Kiosk is included in your Glofox package).

Whatever way your client signs up and books classes, the process is simple with Glofox.

Using the Web Portal

There are several ways you can integrate the Glofox 'Web Portal' to your website. To find out more about integrating the Glofox 'Web Portal', read the below articles;  

Depending on what you have decided to integrate, your client will have various ways to; register interest, view schedules, sign-up, purchase memberships and book into classes. 

Assuming your client has not yet logged in, your client will be able to sign-up, book and purchase memberships on your website. Here's what that could look like, from the following views. 

  • Calendar view

  1. Your client will click on the tab labelled 'Calendar, 'Class Schedule', or 'Timetable' depending on your settings
  2. They can filter the classes, trainers and facilities to narrow down their search
  3. They can also select a specific date or a range of dates to view
  4. Once they find the booking they want to make, they will click 'book' which will take them to a login/sign-up form which they will need to fill in before completing the booking
  • Membership view

  1. From the Membership view, your client will see a list of available memberships and credits packs
  2. They can scroll down the list to find the right one for them
  3. Once they find the right one, they will click 'book' which will take them to a login/sign-up form which they will need to fill in before completing the booking 
  • Course view

  1. From the course view, your client will see a list of available courses 
  2. They can filter the courses by name/trainer to narrow down their search
  3. Once they find the right one, they will click 'book' which will take them to a login/sign-up form which they will need to fill in before completing the booking 
  • Trainer view

  1. From the trainer view, your client will see a list of trainer profiles
  2. They can click through to find out a trainer description and a list of available appointment slots
  3. Once they find the trainer and slot, they will click 'book' which will take them to a login/sign-up form which they will need to fill in before completing the booking 

Using sharable links from the 'Web Portal'

When using 'Web Portal', you also have the ability to share direct links to classes, courses, appointments, facilities, memberships and credit packs to your client via message, social media post email, etc. Clients__integration__share_link.gif

To get this link, you will need to locate the class, course, appointment, etc and click the 'share' icon. Clicking this will automatically copy the link to your clipboard. You can now paste the link wherever you like. 

Tip: Use a service like 'Rebrandly' to shorten and kill expired links. Read more on this below; 

When your client clicks on this link they will be brought straight to a call-to-action to either, sign-up, book, purchase, etc. Here's what that process could look like from your clients point of view;

Using the Web Integration 'Lead Capture' tool 

The 'Lead Capture' tool enables you to capture your prospective clients' key contact information. You can market this as a 'Free Consultation' or an 'Intro Offer' etc. This is beneficial as many prospects will drop off when getting to the payment section of the sign-up, or might avoid committing to a class right away, but now you have their contact information to reach out to them if needed. Regardless of if they book or not, they will show up on the 'Lead' tab of your Glofox dashboard. 

Your client will also have the option of booking into classes, courses, and appointments and completing their profile' from within the lead capture tool. 

From the client's point of view, they will see a form tailored to your business and brand which will look something like this;

Your client will simply input their details and follow the prompts to register and book into classes, courses, and appointments and purchase memberships.

Member App

If you have the 'Member App' included in your package, you will have your gym/studio listed within the Glofox Member App. Your clients can search the App Store or Google Play for 'Glofox' to find and download our app. The 'Member App' is completely free for your clients to download. 

Once downloaded, your clients simply enter a location and search for your gym/studios' name. Once there they can sign-up, check out classes, make a booking, buy memberships, etc. Here's what that might look like;

Standalone App

If you have the 'Standalone App' included in your package, you will have your own personalized app which you can add your branding and logos to. Your clients can search the App Store or Google Play for the name of your Gym/Studio to find and download your app. The Standalone app is completely free for your clients to download.

Just like the 'Member App' once your client downloads the app, they can either sign-up for an account, browse your list of classes, sign-in, buy memberships, book classes, buy items from your store, etc. Here's what that could look like; 

  • Booking classes

The Kiosk

From the check-in Kiosk, in either search view or class view, new clients can create a profile. To do this, they should follow these steps;

  1. Click the 'Sign up' button in the top right corner
  2. Enter their details
  3. Agree to the Terms & Conditions

The Dashboard (By a staff member) 

If your client is having difficulty signing up themselves, or they need additional assistance. You can create a profile for them; 

  1. From the dashboard, click the manage icon and click clients
  2. Click the blue '+Add Clients' button
  3. Enter the client's detail, eg. name, gender, phone, email, etc. (name, email address and gender are required to add a member
  4. Click 'Add Member'

The client can now be assigned a membership and book into classes etc. 

Please note;

  • The email you sign the client up with is the email address that the client must use to login to the 'Member App' or 'Website Portal' etc.
  • When the client attempts to use the 'Member App', 'Standalone App' or Website Portal' they will need to click 'register' at the log-in. When they register, they are asked to create a password for their account. This will then merge into the account already created through the dashboard if you have already created one for them.

Glofox Pro

If you're signing up a new client up yourself, you might want to use the Glofox Pro app. To add a new client from Glofox Pro, follow these steps; 

  1. From the 'Client' tab on Glofox Pro, click the '+' symbol on the top right-hand corner of your screen
  2. From here, fill in your client's information
  3. Once your client's profile has been filled in, click 'Create Profile'

Please note;

You can add a photo to your client's profile from your phone image gallery, or take a photo and upload it directly. To do this, click the '+' symbol beside the empty profile icon on the top of the screen
