Booking Windows, Cancellation Rules and Other Settings

To access these settings from the dashboard go to;

  1. Click the Settings icon in the bottom left of the screen
  2. Then click 'Bookings'
  3. From here you can edit settings for each of the different types of events

Adjusting your Class settings

You can adjust your 'Class' settings for the following; 

  • Timetable displays 'x' weeks of classes - this changes the number of weeks shown on the calendar
    • Note: if the settings are set to 4 weeks, the timetable will display 28 days from the calendar date on that day, not the calendar week.
  • Class levels displayed - displays the class levels
  • The booking window for classes - this allows you to set a time for classes bookings to stop e.g. 1 hour before class starts
  • Maximum number of bookings a client can have in a time period - this allows you to set a maximum amount of bookings that can be made by a client within a certain time period. For example, If set to 20 per week, a client can book up to 20 classes each week. Once the limit is reached, they cannot book additional classes until the next week starts. Waitlist bookings do not count toward this number, and studio staff can override the setting if they are making the booking.
  • Maximum number of upcoming bookings a client can have in the calendar - this setting restricts the total number of upcoming bookings a client can hold at any given time, regardless of the time frame. For example, if the limit is set to 11, your client will only be able to have 11 classes booked in advance. As the client attends classes and the number of upcoming bookings decreases, the client will be able to add more bookings. Waitlist bookings do not count toward this number, and studio staff can override the setting if they are making the booking.
  • Allow clients to book friends - this allows your clients to book in a friend when booking themselves in (Book a friend feature must be switch on first) 
  • Cancel notice period a client can give - the amount of time required to cancel before being penalized
  • Late cancelations -enabled/disabled - allow or don't allow late cancelations 
  • Penalty system for not showing to a booked class -enabled/disabled - incur a penalty if you don't show up to a book class 
  • Waitlist -enabled/disabled - turn on a waitlist for classes
  • Staff can increase the class capacity of fully booked classes - allows staff members to increase the class size if the class fills up

Adjusting your Personal Training Appointment settings

You can adjust your 'Personal Training Appointment' settings for the following; 

  • Timetable displays 'x' weeks of personal training appointments 
  • The booking window for appointments
  • Clients can cancel 'x' hours before their appointment begins

Adjusting your Facility Rental settings

You can adjust your 'Facility Rental' settings for the following; 

  • Timetable displays 'x' weeks of facility rental appointments
  • The booking window for facility rentals
  • Clients can cancel 'x' hours before their facility rental slot begins 

Adjusting your Course settings

You can adjust your 'Courses' settings for the following; 

  • Book friends (how many) - enabled/disabled
