New: pause Memberships billed on the 1st of the month

It’s now possible to pause unlimited monthly recurring Memberships that are set up to be billed on the first of the month, these Memberships are often referred to as Pro-Rata or Prorated Memberships.

This new enhancement makes it even easier to manage your Memberships because you can now offer more flexibility to your Members.

It’s important to note that these Memberships can only be paused in monthly increments. If your Member wants to come back to your studio before the month pause has finished, you can edit the reactivation date. More on this below.

Please note:

  • As you can only pause for 1 month at a time, the payment date will never change from the 1st of the month.

How to pause Memberships billed on the 1st of the month

  1. Go to your client's profile from the 'Clients' tab or via 'Global Search'
  2. Click on the 'Membership' tab
  3. If a 'Pause' is available, you will see a green button labeled 'Pause' on the right-hand side, select that
  4. Choose the time frame in which you want to pause (This is only available in monthly increments)
  5. Check the dates are correct and then click 'Pause Membership'

You will notice after you pause the Start Date (New reactivation date), it will be visible in two places on the Member's 'Membership' tab. In this sample you can see after a two-month pause, the new start date is October 6th, but the next payment date is November 1st. (See below image highlighted with red boxes)

This is because your Member has already paid for a full month Membership on August 6th (See below image highlight with a green box). If we reactivate the Membership is October, your member would only receive a one month pause instead of the two requested.

Please note:

  • Editing the reactivation date will not update payment date
  • You Member will not receive any automatic charges for an early reactivation, if you want to charge them for this extra time, you will need to enter a ‘Custom Charge’

How to Custom Charge for an early reactivation

When you edit a start date on a Membership billed on the first of the month, you are not editing the payment. Therefore, you might want to custom charge your member for the extra time they have gained access to your studio.

For example, if your member paused for 2 months, but halfway through month two, they want to come back to class (6-week pause), you will likely want to custom charge them for the additional 2 weeks that are unaccounted for. So if a Membership is $50 a month, you will custom charge your member $25.

To do this, follow these steps:

  1. Go to your client's profile from the 'Clients' tab or via 'Global Search'
  2. Click the 'Custom Charge' button
  3. Add the amount the charge should be and select the payment method: cash, card, bank transfer, etc (in this case the custom charge will be half of the price of the membership they are currently on)
  4. Add a description to your custom charge e.g. Membership Reactivation - 2-week fee
  5. Click 'Charge'

This charge will be visible under the 'Transactions' tab of your member's profile, for future reference and will be visible in your 'Transaction' report.
