How to Sign E-Agreements via Glofox Pro

Glofox Pro - Kiosk Mode allows new member sign-ups from your Glofox Pro app. (Note: This is not available on all Glofox packages). When you sign into Glofox Pro, you will be prompted to choose ‘Staff Mode’ or ‘Kiosk Mode’. Kiosk mode works in a very similar way to the Kiosk App. 

By choosing ‘Staff Mode’, you will continue to the Glofox Pro app as normal, by selecting ‘Kiosk Mode’, you will enter into the client sign-up form.

Leads and Clients can sign both the Waiver and the Terms & Conditions in the Pro App ('Staff Mode'). This is beneficial when you want your 'Leads' or 'Clients' to sign whilst in your studio/gym, simply hand over the mobile or tablet device to complete the signing process. 

Below shows the signing process available on the Glofox Pro ('Staff Mode'):

When your clients visit ‘Kiosk Mode’ from your mobile device, they will see a form like the one shown below:

They will follow these steps to sign up: 

  1. First, they will see a branded page with your logo, brand colors, and the business name just like your branded member app. From here they will click ‘Sign up now’
  2. Next, they will be prompted to enter their name, last name, email, and phone number, and an option to sign up for marketing communications from you. Then they will click ‘Continue’
  3. On this page, they will select a gender, date of birth, zip code, emergency contact name, and emergency contact number (The only required field on this page is gender and date of birth). Then they will click ‘Continue’
  4. Now they have an option to let you know how they heard about your Gym or studio by selecting Facebook, Instagram, Another Client, Work of mouth, or Other Advertising. Then they click ‘Continue’
  5. Now they have the option to take a selfie to upload to their profile or skip this step. If they take the photo, they can choose to ‘Use this photo’ or ‘Take another one’ 
  6. If you have the e-agreements add-on, your new client will be prompted to sign and accept your studio Waiver. If you do not have the e-agreements add-on there will be a checkbox for members to confirm their acceptance of your studios’ waiver. (For more information on E-Agreements, click here). Then they click ‘Continue’.
  7. The last screen will be another branded page with your logo and a ‘Welcome to the Studio’ message.

Once a client signs up on the Kiosk, they will automatically populate to your ‘Leads’ tab on the dashboard and Glofox Pro. From here you can collect additional information, sign them up to class, assign them a Membership, and much more.

How to Sign the Waiver in the Member App

Here is what the sign up flow looks like in the Member App when E-agreements are enabled:

They will follow these steps to sign up: 

  1. First, they will see a branded page with your logo, brand colors, and the business name. From here they will click ‘Sign up now’
  2. Next, they will be prompted to enter their email and password, followed by their first name, last name, an option to sign up for marketing communications from you, phone number and date of birth.  
  3. If you have the e-agreements add-on, your new client will be prompted to sign the Waiver document. If you do not have the e-agreements add-on there will be a checkbox for members to confirm their acceptance of your studios’ waiver. (For more information on E-Agreements, click here). Then they click ‘Continue’.
  4. The last screen will be another branded page with your logo and a ‘Welcome to the Studio’ message.

How to Sign Terms and Conditions in the Member App

  1. First, they will select their desired membership and hit 'Purchase'. 
  2. Next, they will be prompted to sign the 'Membership Terms and Conditions'. If you do not have the E-agreements add-on there will be a checkbox for members to confirm their acceptance of your terms & conditions.
  3. Once the signature is added, they will see the membership purchase success screen.

How to Make Signing E-agreements Mandatory in the Member App

You can make signing E-agreements mandatory for your members in the Member App. This means that members will be blocked from booking and access will be restricted unless the E-agreement is signed. The option for members to skip this step will also be removed.

There are 3 options that you can enable:

  • Restrict booking if any e-agreements are unsigned for studios that operate with event bookings (member app and web portal)
  • Restrict access via barcode if any e-agreements are unsigned for studios that operate with access control (app)
  • Remove skip & sign option for studios that don’t work with barcodes or event bookings (app)

How Existing Clients can Sign E-agreements in the Member App

For customers that already have an account, or didn't complete signing when they registered or purchased a membership, they will be prompted to sign within the 'Member App'. They will see a red notification tag against their profile. Once they access their profile, they will see the unsigned documents and have the ability to sign either the 'Waiver' or the 'Membership Terms and Conditions'.

How Existing Clients can Sign E-agreements in the Web portal

For customers who already have an account, and didn't complete signing when they registered or purchased a membership, they will be able to sign within the ‘Web Portal”. Once they access their profile, they will see the unsigned documents and have the ability to sign either the 'Waiver' or the 'Membership Terms and Conditions' via a web link.

Signed E-Agreements via Email 

Your leads and clients will receive a signed copy of the document to the email address associated with their account. 

If E-Agreements are enabled on your Dashboard, this 'Signed Document' email will be visible in the 'Connect' section under the 'Messages' tab. The email will be activated by default. 

 

Unsigned E-Agreements Report 

It's now possible to view all unsigned leads and clients on the 'Unsigned E-Agreements report' which is now available under the 'Activity' section on the 'Reports list'. This report is useful to get an understanding of what clients are yet to sign either the Waiver or the Membership Terms. It provides the client's details, making it easy to follow up and encourage document completion. 

Please note: 

In addition to having the ability to sign in both the Pro App and the Member App, it is still advised to add the E-agreement document URL to your 'Welcome' and 'Membership Confirmation' email as a fallback. The more locations you can feature the signatures document the better. Click here for instructions on how to add the links to the email templates.
