What is it?

The Membership Plan Change feature allows you to easily upgrade or downgrade a member’s plan without cancelling their existing membership.

What’s included

With the Membership Plan Change feature, staff can: 

  • Change a membership plan without cancelling the current membership
  • chedule a plan change to take effect on the member’s next payment date
  • Make a plan change that starts immediately and charge a prorated fee using the formula: (New daily price – Current daily price) × Days left
  • Move members between plans with different billing frequencies (e.g. monthly → weekly, weekly → single)
  • Apply discounts in the cart during the plan change
  • Move members from an Individual Membership → Group Membership (but not the other way around)
  • View and report on membership changes in Membership > New Memberships > Membership Plan Changes
  • Ensure no joining fee is applied during a membership change, even if it’s configured in the membership definition
  • Ensure no “Gift First Period Free” benefit is applied during a membership change, even if it’s configured in the membership definition 

How to make a membership plan change

Follow these steps to upgrade or downgrade a member’s plan: 
1. Go to the Member Profile 
Search for and select the member whose plan you want to change 
Navigate to the Memberships tab

2. Select the Membership 
Find the active membership you want to change. Click on Actions. Click Membership Change.

3. Choose the next payment date 
Decide whether the change should take effect today or on the next payment date.

4. Choose new membership plan 
You will be redirected to the Checkout page. Type in the new membership plan to search and select the plan you want to change to.

5. Confirm price 

Add a discount code in the cart if needed.

6. Review & Complete 
Double-check all details 
Click Pay to process the membership change.

Once complete, the system will automatically update the member’s plan and reflect the change in your reports.

Please note:

  • You cannot move a member from a Group Membership → Individual Membership using this feature.

Start Today, Charge Today 

  • The price is based on the configured membership definition, not the last amount paid by the member.
  • If a member is owed money, it will not be refunded or offset automatically. Instead, the system logs a $0 transaction. Any adjustment must be calculated and applied manually by the studio.
  • Single memberships will always be charged the full amount (not prorated) at the time of purchase. 

Next Payment Date 

  • Single memberships cannot be selected with this option.

Common Scenarios

  • Upgrade from Weekly → Monthly
    • A member is on a weekly membership but wants the cost savings of a monthly plan. You can schedule the change for the next billing date or start it today with a prorated charge.
  • Downgrade from Premium → Basic
    • A member wants to reduce their spending but stay with your studio. You can downgrade their plan to Basic and set it to begin on their next payment date, avoiding cancellation.
  • Switch from Individual → Group
    • A member decides to join with a friend or family. You can move them into a Group Membership directly, without cancelling their current individual plan.
  • Change from Monthly → Single
    • A member wants to stop recurring payments and move to a one-off membership. You can switch them to a single plan (note: if started today, they will be charged the full price upfront). 

FAQs

Q: Why don’t I see the “Membership Change” button? 
The membership type may not be eligible (e.g. trying to move from Group → Individual). 

Q: Why isn’t the Add-On carrying over to the new plan? 
Add-Ons are not transferred automatically. They must be cancelled and reapplied separately to the new plan. 

Q: The member paid a different price previously — why is the prorated fee different? 
The prorated calculation is always based on the membership definition price, not the last amount the member paid. 

Q: The member is owed money, but I don’t see a refund. Why? 
The system does not issue automatic refunds or offsets. This will appear as a $0 transaction, and any manual refund or adjustment must be applied by the studio. 

Q: Can I schedule a Single Membership to start on the next payment date? 
No — Single Memberships can only be purchased in full at the time of the plan change.
